Digital archive (DMS)
The Digital Archive is your central hub for storing, managing, and accessing all your business documents — either independently or seamlessly integrated with other APPCRO BMS subsystems. Designed for security and efficiency, it offers simple and fast access to documents, complete version history tracking, and real-time updates. Thanks to its modular approach (dashboard, documentation, approvals, and reporting), users have full control over the entire document lifecycle — from creation and version management to approval and archiving. By eliminating the need for paper documents, the Digital Archive accelerates business processes, improves productivity, and ensures full compliance with internal policies and legal requirements.
Dashboard
A clear and intuitive dashboard offers users an instant view of the status of the Digital Archive. All key information is accessible in one place — including the total size of all documents, the number of documents awaiting verification/approval, the total number of documents, and much more. The dashboard also includes widgets in the form of charts, providing a visual overview of documents created and deleted by month, document sizes over time, attachments by MIME type, as well as other useful metrics. As the system’s starting point, the dashboard is designed for easy navigation and efficient real-time document management. The widgets are interactive and fully customizable, allowing users to rearrange them as they wish, with each widget offering direct access to detailed views of the data it presents.
Attachments approval
Our subsystem also enables document approval and verification. When a document is sent for approval, the recipient receives a notification within the system and/or an email informing them of the details of the document to review and approve. The approval tracking dashboard provides a clear list of all documents in progress, along with the status of each item. Stay informed with automatic notifications about incoming documents awaiting approval. Our Digital Archive ensures complete transparency with a full record of all previously approved or rejected attachments, giving you total control over your documentation. Additionally, documents can be verified using an e-seal and electronic signature to enhance security and authenticity.
Documentation
It is an integral part of the APPCRO BMS system, serving as a centralized registry and archive for all business documents. Within each subsystem profile, users can securely store various file types — including text documents, spreadsheets, images, and other digital content. Each file can be accompanied by comments, and a tabular view is available to facilitate navigation. The system includes version control as well as the ability to send documents for verification, thus ensuring the completeness and reliability of the archive.
